On-site staff terms

Last updated 14 October 2026

These terms cover booking staff from EventDrake (EventDrake Limited) to help run EventDrake systems at your event, such as check-in, badge printing and payments. In these terms, you means the customer who makes the booking.

1. How these terms apply

1.1 These terms apply on top of our terms of service. They are service-specific terms under clause 11 of the terms. Words defined in the terms have the same meaning here.

1.2 You accept these terms when you book staff. For staff you book from us, these terms take precedence over the terms of service where the two conflict.

1.3 Our staff work at your event, so clause 13 of the terms, on-site operations, also applies. You still make all entry decisions.

2. Booking and pricing

2.1 You can book staff in the hub or in the admin, or ask us for a quote at hello@eventdrake.net.

2.2 Prices come from our published rate card, a group package, or a quote we give you. Your booking shows the dates, the hours, the work and the price before you confirm it.

2.3 We offer on-site staff only in some markets. Your booking says where staff are available.

3. What our staff do

3.1 The work our staff do is set out in your booking.

3.2 Our staff operate EventDrake systems only, such as setting up and running check-in, badge printing and payment devices, and helping your team use them.

3.3 Unless we agree otherwise in writing, our staff don’t provide security, crowd control or cash handling, and they don’t carry out age verification. Final responsibility for age verification stays with you, as clause 5.8 of the terms sets out.

4. Deposits and payment

4.1 Deposit. We may ask for a deposit before your booking is confirmed. It can be a card authorisation, a charge to your saved card, or a cash deposit, as we decide. Any deposit is always shown before you commit to the booking.

4.2 Balance. The staff fees, less any deposit we have taken, go on your next monthly invoice and are charged as set out in the fees clause of the terms.

4.3 Upfront payment. We may ask you to pay in full before the event, for example if your account is new or on a lower plan.

5. Costs

5.1 These are charged as quoted:

  • hours worked, including any minimum call-out;
  • overtime;
  • breaks and meals;
  • travel; and
  • accommodation.

6. Our staff stay ours

6.1 The people we send remain our employees or contractors. They don’t become your employees or contractors by working at your event.

7. Health and safety

7.1 You must give our staff a safe place to work. Before they start, you must give them a site induction and tell them about any hazards at the venue.

7.2 You and we each have duties as a person conducting a business or undertaking (PCBU) under the Health and Safety at Work Act 2015, or under the equivalent law where your event is held. Where those duties overlap, we will consult, cooperate and coordinate with each other to meet them.

8. No direct hire

8.1 While a booking is running and for 6 months after it ends, you must not directly employ or engage any of the staff we assigned to it without our agreement.

9. Cancellation

9.1 If you cancel a booking, the cancellation terms in the rate card or your quote apply.

10. Liability

10.1 Our total liability for a booking is limited to the staff fees for that booking. For on-site staff, this replaces the cap in clause 17.1 of the terms. Clause 17.3 of the terms applies to this cap as it does to clause 17.1, and the rest of clause 17 still applies.

10.2 This clause doesn’t limit what you owe us under these terms, including staff fees and the costs in clause 5.
